Views on personal information

At ALLEXCEED VIETNAM Co., Ltd. (hereinafter referred to as “the Company”), we understand that information which can be used to identify an individual (hereinafter referred to as “personal information”) is a valuable asset belonging to that individual. We recognize that handling such personal information appropriately is a corporate social responsibility.

We have established a Privacy Policy to govern the protection of personal information. All personal data is handled in accordance with this policy, which is thoroughly implemented throughout the company. Furthermore, we engage in the following activities with full consideration for the proper management and use of personal information.

    When collecting personal information, we clearly define the purpose of use and collect it through legitimate and fair means within the defined scope. Additionally, any use of the collected information is strictly limited to the necessary scope for achieving the stated purpose. We take precautions to prevent usage for other purposes.

    When providing personal information, we strictly manage it based on our internal personal information protection system. The Company designates a person responsible for handling personal information in each relevant department and strives to manage such information appropriately based on the actual situation of each task.

    The types of personal information we collect and their intended uses are as follows:

      Used for providing services and guidance, billing, notifications of changes, and responding to inquiries regarding our products and services.
    • Job Applicant Information
      Used to provide guidance to applicants and assess their suitability for employment. Depending on the recruitment process, we may also request sensitive information such as medical check-up reports.
    • Personal Information of Our Employees and Partner Company Personnel
      Used for contract signing with partners, HR and employment management, payroll, work execution, health management, confidentiality measures, etc.
    • Personal Information Entrusted by Customers
      Used for carrying out the tasks entrusted to us by customers.

    Please note that if certain necessary personal information is not provided, we may not be able to offer part or all of our services.

    We have established a dedicated department to handle complaints and inquiries from individuals regarding their personal information. We respond in a legal and appropriate manner and ensure the accuracy and currency of such data.

    We ensure that all officers and employees recognize the importance of protecting personal information and their responsibilities. The Company continuously improves its personal information protection management system.

Notice on personal information handling policy

Our company hereby provides the following information in accordance with the Japanese Industrial Standard JIS Q 15001 (Personal Information Protection Management Systems – Requirements).

  3. Outsourcing of Personal Information Processing

    There may be cases in which we outsource the processing of personal information to external partners to the extent necessary to achieve the stated purpose of use. In such cases, we will select appropriate subcontractors based on our internal criteria. Except for special circumstances, we will conduct appropriate supervision by stipulating obligations in contracts to ensure the proper implementation of safety measures for the entrusted personal information.

  4. Procedures for Responding to Disclosure Requests

    For the personal information held by our company, we will respond within a reasonable period to requests from the information owner for "notification of the purpose of use," "disclosure," "correction of content," "addition or deletion," "suspension of use," and "deletion and suspension of provision to third parties."
    Please note that a prescribed fee will be charged for each request for "notification of the purpose of use" and "disclosure."
